Title: Coordinator of Volunteer Programs
Division: Volunteer
Reports to: Director of Volunteer Programs
Status: Full time, non exempt

Under the direction of the Director of Volunteer Programs, the Coordinator of Volunteer Programs coordinates the day-to-day administrative operations of the Volunteer Program.

Essential Responsibilities

  • Responds to public inquiries regarding volunteer programs.
  • Reviews applications and schedules and conducts interviews, orientation, and training, for new volunteers and interns.
  • Recruits, schedules, and confirms volunteers for daily food prep, enrichment, on-grounds ambassador, and administrative volunteer assignments.
  • Recruits, schedules, and confirms docents and volunteers for VIP tours.
  • Writes edits, and distributes the weekly volunteer newsletter.
  • Supervises volunteer projects as needed, including training and briefing of volunteers.
  • Organizes, maintains, and updates volunteer files and database records.
  • Assist with the development and execution of education stations.
  • Supervises volunteer projects as needed, including training and briefing of volunteers. 
  • Assists with Docent Chair requests, as needed.
  • Assists current uniform committee chair with filling uniform orders, quarterly inventory of stock, and other requests.
  • Assists with miscellaneous duties including but not limited to; maintaining supply inventory for the entire division.
  • Has creative input and provides support for a variety of volunteer events.
  • Available to work GLAZA fundraising galas.
  • Other duties as assigned.

Skills, Knowledge and Abilities

  • Bachelor’s degree or at least three years’ experience working in an administrative position, preferably in a nonprofit organization or cultural institution.
  • Demonstrated ability to communicate, develop, and maintain a close effective relationship with paid staff, volunteers, and Zoo visitors.
  • Demonstrated customer service skills, with the ability to answer questions effectively and handle guests’ and staff concerns with diplomacy and discretion. Skills in listening perceptively, conveying sensitivity and awareness. 
  • Demonstrated ability to write effective, grammatically correct letters and correspondence.
  • Ability to work weekends, occasional early mornings, evenings, and holidays as needed.
  • Demonstrated ability to set priorities and handle multiple tasks with effective follow-through.
  • Proficient knowledge of basic computer software programs, such as Word and Excel; the ability to learn new programs for data entry, such as Volgistics; and demonstrated ability to focus on a computer for extended periods during the day.
  • Demonstrated ability to use various types of office equipment, such as copiers, fax machines, telephones, etc.
  • Demonstrated organizational skills and ability to provide attention to detail.   
  • Demonstrated ability to work independently as well as with a team and to problem solve.
  • Demonstrated ability to remain in a stationary position and focus on a computer screen for extended periods during the day.
  • Demonstrated ability to move throughout the Zoo grounds on a frequent basis.
  • Demonstrated ability to lift twenty-five pounds using proper safety techniques.
  • Possession of a valid Class C Driver’s License and satisfactory driving record for purposes of running errands for the Volunteer Division.
