Development Division

The Development Division of GLAZA is composed of eight individuals who are responsible for raising both restricted and unrestricted funds in support of the Los Angeles Zoo and Botanical Gardens. The Development Division is part of the Advancement organization of GLAZA that includes membership and database, and also assists Special Events, Publications, Marketing, and Finance Departments when needed.

Basic Functions

The Development Coordinator is a take-charge, organized professional supporting a dynamic office as a member of the team. The Development Coordinator is an individual with strong computer skills, customer service approach, stellar telephone manner, and interpersonal skills working internally with both Zoo and GLAZA staff and externally with constituents including Board members, donors, volunteers, participants, and others. The Development Coordinator does not have supervisory responsibilities.

Under the direction of the Vice President, Institutional Advancement, the Development Coordinator supports the entire Development team in fund raising activities with specific duties concerning prospect management, donor relations, stewardship activities, and administrative assistance. Attention is given to efforts for both campaign and non-campaign fundraising including preparation and management of moves management lists for the team, management of event lists, generating reports and mail merges, and updating the Raiser’s Edge database.

Additionally, the Development Coordinator manages donor communications in GLAZA’s various print and web-based vehicles, including donor profiles and program highlights which help to engage, cultivate, and steward major donors and planned giving prospects.

Finally, the Development Coordinator will also be responsible for keeping track of GLAZA’s key leadership donors to continue their stewardship. Generating ideas for

stewardship and keeping these donors’ names in view of the team at all times so that they are properly cared for will be an important aspect to this position.

Overall Responsibilities

  1. Provides departmental administrative support including assistance with departmental projects, creating and managing event lists, scheduling meetings for Development team, and providing backup in processing gifts if necessary.
  2. Supports annual departmental events including, but not limited to, the Beastly Ball, Foundation Luncheon, Selig Legacy Society Luncheon, Safari Society and Business Partners events and more by coordinating invitations and tracking responses which might include follow-up phone calls and correspondence.
  3. Works with Development team to facilitate strong relationships with donors and assists with special mailings and events related to donor development.
  4. Assists the fundraising team with internal and external communications.
  5. Assists with inputting contact reports into the Raiser’s Edge database as well as updating moves management reports for next steps and benchmarks.
  6. Supports projects and fundraising events to develop relationships with potential donors.
  7. Collaborates with Development team to evaluate fundraising events success, and the potential for future activities for the various event types.
  8. Travels to events and provides onsite support as required.
  9. Performs tasks related to mailing lists, responses, reservations, and seating, including creation of individual lists for Board members; tracking responses and reservations, and preparation of place cards, name tags, seating lists, and thank you letters as needed.
  10. Assists team members in preparation of materials for all meetings and events.

Essential Duties

  1. Performs clerical duties for the Development Division, including word processing, filing, organizing, and assisting with mailings.
  1. Produces queries, mail merges, prospect lists, and RSVP lists for Development team activities and events.
  1. Assists team in maintaining the accurate documentation of solicitor/donor interaction in Raiser’s Edge database to ensure and protect institutional memory.
  1. Participates in weekly Development team meetings and maintains and distributes moves management documents to relevant staff.
  1. Creates annual stewardship communications strategies. Manages a stewardship program for annual and major donors, including a plan for proactively communicating with donors about special events, special notices etc., on a regular basis and develops ideas for stewardship gifts and activities at different levels of giving.
  1. Assists the Development team with the administrative functions related to Board of Trustees Committees, including but not limited to helping to organize meetings, tracking attendance, and helping staff with meeting preparation.
  1. Works with staff regularly to ensure that updates to the “Support” pages of the website are made quarterly.
  1. Performs general administrative and operations-based tasks as deemed necessary by the VP Institutional Advancement.
  1. Monitors Development Division’s magazine/book subscriptions keeping track of expiration dates, etc.
  1. Performs other duties as assigned.

Skills, Knowledge and Abilities Required

  1. A Bachelor’s degree and at least two years of hands-on development and fundraising experience are minimum requirements.
  2. Working knowledge of the principles and practices of development and fundraising.
  3. Individual must be an organized, flexible self-starter with demonstrated ability to initiate programmatic activities independently, proactively seek solutions, as well as prioritize and complete work in a timely manner despite many deadlines and competing requirements.
  4. Must possess integrity and high standards of professional conduct, including demonstrated ability to maintain confidential materials.
  5. Demonstrated ability to compose letters, memos, briefings, and reports that are grammatically correct and properly formatted.
  6. Demonstrated ability to communicate persuasively, both orally and in writing, to a variety of constituents, and to listen perceptively, conveying sensitivity and awareness, to donors.
  7. Demonstrated the ability to work well with people, applying good judgment and diligently building relationships when appropriate with donors and donor prospects, Board members, the general public, and Zoo staff, including colleagues, senior staff, curators, keepers, vendors, consultants, members, and volunteers.
  8. Must demonstrate general computer literacy and knowledge of various software programs, including MS Word, Excel, and fundraising software (preferably Raiser’s Edge). Ability to use a variety of office equipment such as copiers, fax machines, etc.

  11. Demonstrated ability to remain in a stationary position for extended periods during the day.
  12. Demonstrated ability to visually see or hear calls being received.
  13. Willingness to work evenings, holidays, and weekends as required.
  14. Must have a working knowledge of and familiarity with the goals of the Los Angeles Zoo as well as a practical understanding of zoos.
  15. Required to work all GLAZA galas.
